An Event Assistant for the Universal “AI for Health” Summit

How the MedStar Health–Georgetown AI CoLab and DAIMLAS gave summit attendees a conversational guide to a full multi-venue program — built on ibl.ai and tuned to the event’s own agenda.

A summit runs on a compressed clock, and the same questions arrive hundreds of times — when, where, is it included, how do I join remotely. The summit answered them with a purpose-built assistant instead of a static FAQ page.

The Collaboration

A joint center, a summit, and a very full program

The AI CoLab is a joint collaborative center between MedStar Health and Georgetown University Medical Center, focused on artificial-intelligence healthcare research and education. Its Universal “AI for Health” Summit, chaired by Dr. Nawar Shara and Joseph Wehbe, spanned sessions, mixers, and virtual workshops across a campus.

The brief was practical: reduce friction for participants and lighten the load on organizers by giving instant, authoritative answers about the agenda, logistics, and session content — whenever and wherever the questions came up.

What It Answered

A live guide, not another FAQ

The assistant was built to answer at any level of detail and to hand people the specific fact they needed, in seconds — the difference between a document someone has to search and an answer someone receives.

Agenda without the scavenger hunt

Ask by session name, number, or time — “When does Panel 2 start?” — and get start and end time, day and date, and where to go.

Location that is actually specific

When a session sat at the AI CoLab at Georgetown University Medical Center, the assistant said so — down to the building and program context.

Session substance, not just logistics

Official titles, speakers, themes, and timing, with smart follow-ups — a faster way to match interests to the right experts and conversations.

What's included, plainly

Exact mixer window, that it was in person, that it was included with the ticket, and that no separate sign-up was needed.

Virtual attendance, step by step

Remote participants learned the Zoom link is emailed after Eventbrite registration is complete — so nobody guessed at how to join.

Momentum after the last session

The assistant highlighted the follow-on virtual workshops and flagged that they required separate registration.

Across the Event Lifecycle

Before, during, and after

An event assistant earns its place by being useful at three different moments, each with a different question behind it.

Before — orientation

Preview the agenda, identify priority sessions, confirm where things are held on the Wisconsin Avenue campus, and check practical details like parking, so arrival is smooth.

During — digital concierge

Rapid-fire where, when, and who questions get answered instantly, so attendees spend their time learning and connecting instead of searching.

After — continuity

Clear guidance on the follow-on virtual workshops, including the separate registration, keeps the learning going well past the main summit days.

Why It Matters

Attendees get certainty

Accurate times, locations, and inclusions remove the low-grade anxiety and last-minute confusion that follow a packed multi-venue agenda.

Organizers get their time back

With routine questions handled instantly, staff focus on execution and genuinely high-touch needs instead of inbox triage.

Information stays consistent

Everyone receives the same up-to-date details, so no two channels give conflicting answers about the same session.

The general pattern: any bounded body of knowledge with a deadline — a conference agenda, an onboarding week, an open-enrollment period — is a good fit for an agent grounded in that content, running on infrastructure the organization controls. See the healthcare view →
